Who we are
Bucks Dyslexia is a sole trader organisation that carries out specialist dyslexia tuition and diagnostic assessments for specific learning difficulties and assessments for exam access arrangements. It was founded, and is managed and owned by Ellen Whitefield.
I am committed to respecting the privacy of my clients, and those who share personal data with me via email, post, text, phone or my website www.bucksdyslexia.co.uk. When I collect or process your personal data, I am regulated by the UK General Data Protection Regulations (GDPR). I am responsible as ‘controller’ or ‘processor’ of that personal information for the purposes of those laws. I am registered with The Information Commissioner’s Office and my ICO number is ZB504901.
I will only collect and use personal data in ways that are described in this policy. I have strict policies and procedures in place to protect your data when you send it to me. The data you provide me will be used only for the efficient provision of agreed upon services and it will not be shared with anyone else unless explicitly stated in this document.
Type of data collected
When you request an assessment or to provide specialist support (either online, over the phone or face-to-face), I need to collect a range of information to enable me to fulfil that service provision.
Types of information collected include:

Personal identifiers and biographical information, such as date of birth.

Contact details – for example home address, email address and telephone number.

Sensitive personal data, such as details of why an individual is seeking an assessment, details of a disability or specific learning disability, details of support a client / learner may have had in the past, assessment data, and notes written during and after support or assessment sessions, or after other contact with the client / learner.

Date of meetings held with a client or learner.

Details of family members or learner’s / client’s school / college / workplace you have given me consent to liaise with .
Why I collect this information
This information is collected in order to plan and provide the assessment and / or specialist support the client / learner has requested.
How and when information is collected
Information is collected to plan and provide an assessment or specialist support for an individual that the client has requested. This is collected via email and questionnaire in advance of the service provision, and by phone or face to face questioning during the assessment / tuition. Further information may be requested after the assessment date. This may be by email, face-to-face, or over the phone.
Information may also be collected via the website bucksdyslexia.co.uk which is hosted on the wix.com platform.
​How we store collected data, and for how long
When you engage with my services, I store the information I collect about you electronically and/or on paper. Electronic data is kept in a secure account and files containing sensitive information, such as diagnostic assessment reports, are password protected on a secure OneDrive account. Hard copies of documents are stored securely in a locked filing cabinet. ​ Although I take reasonable steps to safeguard information, I cannot be responsible for the acts of those who gain unauthorised access or abuse our Site, and I make no warranty, express, implied or otherwise, that I can always prevent such access.
I will hold personal data for as long as it needed to provide the services, or for the period required to retain this information by UK law. Following the assessment and the compilation of the final assessment report, all client questionnaires, all raw data test sheets and all other personal data will be permanently deleted/destroyed (with the exception of test sheets that are being used as part of the Assessment Practising Certificate Renewal Process. These will be destroyed after the renewal process is complete). The final assessment report will be stored electronically until the assesse is 24 years, or for 6 years whichever is longer.
Bucksdyslexia.co.uk is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our services to you. Your data may be stored through wix .com data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. Who might we share this information with?
Once the assessment report is completed, a password protected copy will be emailed to the person who has commissioned the assessment. The assessment will not be shared with a third party without written permission from the person who has requested the assessment. However, it may be necessary to share test papers and assessment reports with PATOSS as part of the Assessment Practicing Certificate Renewal Process. This is unlikely to happen, but if it does happen, the information will be fully anonymised.
All people working with children have a duty of care. This includes a legal requirement to inform relevant authorities if they believe a child is unsafe or being abused. In such an instance personal information will be shared as appropriate.
Access to your personal information
Under GDPR, the data subject has the right to access and amend any of their personal data that I hold. You are entitled to view, amend, or delete the personal information that I hold. Email your requests to ewhitefieldtutoring@gmail.com. Note: Requests from clients / learners to delete data relating to an individual will be considered on a case by case basis but we may be unable to remove all assessment records and / or supporting notes for legal reasons.
